Responsibilities:
Travel Planning and Coordination: Research, plan, and book travel itineraries, including flights, accommodations, car rentals, airport transfers, restaurant reservations and activities. Create and manage travel schedules.
Travel Documentation: Prepare and obtain necessary travel documents, such as passports, visas, and travel insurance.
Communication and Correspondence: Liaise with travel providers, airlines, and hotels to confirm arrangements and resolve any travel issues
Administrative Support to CEO: Provide general administrative assistance to the CEO, including email management, calendar organization, meetings scheduling, claims, and data entry.
Administrative Support to Office: Assist in office administrative matters such as: managing office pantry, liaise with facility management, liaise with IT department, managing company’s IT assets, assist for newcomer onboarding, assist in company gifting logistics, coordinate and arrange meetings, including logistics and venue arrangements etc.
Others: Any other matters that might be assigned by the CEO / HODs
Discretion and Confidentiality: Maintain confidentiality and handle sensitive information with discretion.
Requirements:
Diploma with 3-5 years of experience in a similar capacity (office admin), preferably in finance industry / travel agency
Experience in travel planning.
Proficiency in Microsoft Office suite and other relevant software.
Presentable, confident, and detail-oriented with the ability to thrive in a fast-paced environment.
Ability to maintain confidentiality and handle sensitive information with discretion.
Excellent organizational and interpersonal skills with fluency in spoken and written English and Mandarin to effectively communicate with Mandarin-speaking stakeholders.
Capable of working independently while also being a collaborative team player with a high level of integrity.
