Job Purpose

To serve as Senior Administrator, ensuring the effective day-to-day management of operations, finances, human resources, procurement, grant administration, and research outreach. The role drives alignment with the centre’s research goals, optimises resource allocation, and supports the Centre Director in advancing the centre’s mission within the School.

Job Description

1. Financial Administration - manage budgeting, expenditure tracking, financial forecasting, and reporting in alignment with funder guidelines.
2. Grant & Research Administration - support researchers in grant documentation, ethics approvals, and deliverable tracking.
3. Research Support & Event Coordination - provide logistical support for research activities (e.g. fieldwork coordination, data management).
4. Operational Management - oversee daily operations, ensuring efficient workflows day-to-day research operations.
5. Human Resources & Team Coordination - lead recruitment, onboarding, performance management, and professional development for administrative staff.
6. Stakeholder & Donor Relations - maintain relationships with existing stakeholders (faculty, donors, government agencies) through timely communication and reporting.

Qualifications
  • Bachelor’s degree in Business Administration, or a related field.
  • Minimum 4 years of administrative experience, preferably in higher education, research, or a grant-funded environment.
  • Proven track record managing budgets >SGD 2 million and diverse funding sources (grants, donations, institutional funds).
  • Expertise in grant lifecycle management (proposal submission, compliance, reporting) and familiarity with funding bodies.
  • Proficiency in financial and procurement processes.
  • Strong leadership skills with experience supervising staff and fostering teamwork.
  • Knowledge of relevant laws and university governance frameworks.
  • Excellent communication skills for stakeholder engagement (faculty, donors, partners).
