The candidate for this role will be responsible for overseeing and coordinating all aspects of events management and providing critical administrative support for research activities. The incumbent will work closely with the Associate Chair (Research), Assistant Director, and Assistant Manager to support a range of research-related activities within the school, including events, workshops, research visits, to ensure seamless events execution and smooth administration of research projects. Additionally, the incumbent will assist with other functional tasks for the Faculty Affairs Office as needed.

Your key responsibilities include (but not limited to):

Events Management

Organising and coordinating visits by external parties/collaborators; Research Seminars/Workshops; CoE Distinguished Speaker Series; Tan Chin Tuan Inbound Exchange Fellowship; MAE Distinguished Speaker Series

  • Coordinate visits with internal and external stakeholders and program planning.

  • Organise research seminars/workshops and support promotion activities related to research.

  • Provide logistic support for meetings, events including scheduling, venue setup, transportation, accommodations, audio-visual requirements, catering services, and on-site coordination.

  • Prepare Invitation Letters and process Non-Resident Professional (NRP) payment claims.

  • Draft and send out seminar announcements.

Research Administration Support

  • Provide admin support for all research staff recruitment matters, internal transfers, contract renewals, etc.

  • Update and maintain the databases on School’s research manpower.

  • Assist in the day-to-day office operations.

  • Cover the Unit Manpower Officer (UMO) role, when required.

  • Other duties and projects, as assigned by the Reporting Officer.


Requirements:

  • Degree from a recognized institution preferred.

  • Proficiency in MS Office applications

  • Ability to handle database/administrative systems

  • Ability to multi-task and work independently with staff and faculty at all levels

  • Ability to handle changing priorities and deadlines

  • Event planning and management experience is an advantage

  • Possess good planning and organization skills

  • Possess good interpersonal and communication (oral and written) skills

  • Possess problem solving and critical thinking skills
