Job Overview:
We are looking for an organized and efficient Administrative Assistant to provide support for our logistics operations. The ideal candidate will have strong administrative skills, a keen eye for detail, and the ability to coordinate multiple tasks in a fast-paced environment. This role is crucial to ensuring that our logistics operations run smoothly and efficiently.

Key Responsibilities:

  • Perform general administrative tasks such as filing, organizing, and maintaining company records and documents related to logistics operations.
  • Coordinate and schedule appointments, meetings, and transportation bookings for logistics teams and clients.
  • Process and track shipments, ensuring all documentation (invoices, bills of lading, shipping schedules) is accurate and up to date.
  • Assist in maintaining inventory records and manage stock levels, ensuring timely ordering of supplies and equipment as needed.
  • Liaise with internal teams, customers, and vendors to ensure seamless communication and service delivery.
  • Prepare reports and documentation for management, including shipment status, delivery schedules, and other logistical data.
  • Assist with the preparation and review of contracts, agreements, and other relevant paperwork for logistics and transportation services.
  • Maintain and update client databases and logistics tracking systems.
  • Handle inquiries from clients, vendors, and internal departments regarding shipment status, delivery issues, or general operational queries.
  • Assist with budgeting and expense tracking for logistics-related projects.
  • Support the logistics team with any other administrative tasks and projects as required.

Qualifications:

  • Previous experience in an administrative role, preferably within the logistics, transportation, or supply chain industry.
  • Strong organizational and time-management skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with logistics software or databases is a plus.
  • Attention to detail and accuracy in handling documents and data.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Problem-solving skills and the ability to handle inquiries or issues promptly and professionally.
