Senior Library Executive, Communication & Outreach

The Office of Information, Knowledge & Library Services seeks an enthusiastic and passionate individual to join the Communication & Outreach team to execute strategic communication initiatives and stakeholder engagement activities using skills and knowledge in event management, logistics, publicity tools and social media and provide a wide range of administrative and management support for the team.
Responsibilities:
Execute engagement activities for the various stakeholders, e.g. undergraduates and postgraduates.
Monitor the team’s role based email and resolve enquiries from the central enquiry management system.
Act as key liaison to communicate directly with stakeholders, e.g. school and college administrators and library colleagues to facilitate their requests.
Coordinate logistics required for major library events, activities, and initiatives.
Coordinate the setup and takedown of exhibitions or displays within library premises with both internal and external users.
Conduct research and seek recommendations for purchases required for the team’s events and projects.
Contribute approved content to website and social media channels.
Maintain content calendar for the team.
Monitor and recommend potential trends and topics in social media and website developments for the team’s review.
Coordinate and monitor the progress of design requests and production of promotional materials for the library.
Distribute promotional materials to various publicity channels and platforms.
Perform administrative tasks which includes rostering of staff and Student Assistants, budget tracking, and procurement.
Collect, organise and perform basic analysis of key statistics.
Source, recommend and secure the appropriate catering, gifts, display accessories and equipment.
Maintain the team’s inventory of gifts, marketing collaterals, exhibition accessories, and equipment.
Requirements:
A recognised Degree in any discipline or a diploma holder with extensive working experience.
Knowledge and experience in the use of Microsoft Word, Excel and PowerPoint.
Knowledge and experience in organizing workshops, events and activities.
Knowledge and experience in using web and social media tools.
Knowledge of content management systems and online educational tools will be advantageous.
At least 2 years working experience in a marketing or communications role.
Experience with designing and supervising direct marketing materials.
Good oral and written communication skills.
Service and user oriented.
Self-motivated and able to work independently.
Strong interpersonal and communication skills.
A good team player.
Creative with an eye for design.
