The Senior Executive, provides administrative support to the Vice-Dean (Education) and Vice-Dean (Clinical Affairs).
Responsibilities:
Provide secretarial and administrative support to Vice-Dean (Education) and Vice-Dean (Clinical Affairs) and other ad-hoc duties/projects assigned by the Vice-Deans which include but are not limited to the following:
Draft letters and emails for Vice-Deans
Review and redirect/respond to role-based email accounts for Vice-Deans
Calendar management: organise and schedule meetings/events including coordination with meetings at primary employer/healthcare institution
Plan and co-ordinate travel arrangements including booking of air ticket and accommodation for official trips
Claims reimbursement via SAP Concur for travel and other expenses
Organise department staff well-being/bonding events, e.g., away days, retreats, lunches, etc.
Collate department reports for submission to the University, Ministries of Education/Health
Provide administrative cover for Personal Assistants of Dean/other Vice-Deans, where required by staff absence
Requirements:
A Diploma or Degree in any discipline
Preference will be given to candidates who have prior experience in the education and/or healthcare sector
Experience in scheduling/timetabling/events organising will be an advantage
Excellent analytical, interpersonal and communications (written and verbal) skills
Able to work independently under time pressure and changing deadlines/priorities in a dynamic environment
Able to multi-task in a dynamic educational environment and work on different portfolios and projects simultaneously
A strong team player who takes initiative and is resourceful, with a keen interest in the higher education
This is a 3 years contract appointment.
