The Office of Academic Services (OAS) plays a key role in advancing the University's educational goals through implementing and administering the academic framework and policies established by the University's academic body. We support the development and review of academic policies, advise on the procedures, and maintain the academic records of students.
The incumbent supports the Academic Programme & Curriculum, Matriculation & Candidature Team within the Office of Academic Services. He/she plays a critical role in ensuring the efficient implementation and management of academic programmes, curricula, course enrolment and teaching facilities.
Key Responsibilities:
New Programme Proposal Administration
Facilitate the review of new academic programme proposals, ensuring compliance with academic policies and alignment with the institutional framework.
Guide stakeholders through the approval processes, ensuring proposals meet standards and timelines.
Programme and Course Information Management, Reporting and Metrics
Maintain and update programme and course details within the Curriculum Management System (CMS).
Maintain the Academic Programme Repository for graduate programmes, ensuring accurate and up-to-date information for stakeholders.
Compile, analyze, and report on programme and course data, providing metrics to support informed decision-making, policy adjustments, and quality enhancements.
Curriculum Management and System Support
Review and process curriculum changes and the introduction of new courses, ensuring quality and compliance with policies.
Ensure timely updates and accurate representation of curriculum changes across all systems.
Support the CMS implementation, facilitating a smooth transition, regular updates, and continuous system improvements.
Student Study Record Maintenance
Process student programme and study change submissions from Schools, verifying requirements and notifying relevant parties.
Collaborate with Schools to resolve any issues with student records.
Academic Governance and Business Process Improvements
Partner with academic and administrative units to support new academic service or change initiatives.
Contribute to policy reviews and development of operational guidelines.
Support business process streamlining, including workflow design, process automation, and system enhancements.
Course Registration
Manages the planning and execution of graduate course registration.
Optimize timetabling and resource allocation, ensuring equitable access and efficient utilization for postgraduate courses as well as adapting to changing trends and academic requirements.
Key Requirements
A Bachelor's Degree in any discipline.
At least 8 years of relevant working experience in administration, preferably in academic services in a tertiary institution.
Knowledge of academic and curriculum management applications, data analysis tools and SQL would be an advantage.
Strong interpersonal and communication skills with the ability to work collaboratively across diverse departments.
Capacity to work in a dynamic environment, managing multiple priorities while ensuring consistent quality.
A proactive approach to problem-solving and a commitment to continuous process improvement.
Meticulous, adaptable and keen to learn and improve.
Versatile in working independently and collaboratively with various stakeholders to achieve desired outcomes.
