Job Summary
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide
comprehensive administrative support to our executive team in Singapore. This role requires
a meticulous individual with excellent communication skills, a knack for problem-solving,
and the ability to handle confidential information with discretion. The ideal candidate is
adaptable and skilled at prioritizing tasks in a fast-paced environment.
Key Responsibilities
- Executive Support:
- Manage and maintain the executive team's calendars, schedule appointments, and
arrange meetings.
- Coordinate travel arrangements, including flight bookings, accommodation, and itinerary
preparation.
- Prepare and organize materials for meetings, presentations, and conferences.
- Draft, review, and manage correspondence, reports, and documentation on behalf of the
executive team.
- Administrative Tasks:
- Handle day-to-day administrative functions, including filing, data entry, and document
management.
- Manage expenses and handle budgeting tasks for the executive team.
- Oversee oNice supply inventory and ensure the oNice is well-maintained and fully
stocked.
- Communication:
- Act as a liaison between the executive team and internal/external stakeholders.
- Assist in drafting internal and external communications and correspondence.
- Facilitate eNicient communication within the team and ensure timely responses to emails
and messages.
Project Coordination:
- Support the executive team in planning and executing special projects and company
initiatives.
- Track progress on various projects, ensuring deadlines are met and key deliverables are
completed.
- Conduct research and prepare reports as required by the executives.
- Event Planning:
- Organize and manage events, meetings, and team gatherings, including logistics,
catering, and venue arrangements.
- Coordinate team-building activities, oN-sites, and other events to foster team cohesion.
Qualifications
- Education: Bachelor’s degree in Business Administration, Communications, or a related
field preferred.
- Experience: Minimum of 3 years of experience as an executive assistant or in a similar role,
preferably in a multinational organization.
- Skills:
- Strong proficiency in Microsoft ONice Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Highly organized, with a keen attention to detail.
- Ability to manage multiple tasks, prioritize workload, and meet deadlines.
- Discretion and confidentiality in handling sensitive information.
- Must be fluent (spoken and written) in both English and Mandarin.
