Job Responsibilities:
The incumbent is required to work together with the team members on the below:
- Work closely together with the Assistant Manager to provide administrative support to the College for SRCPT Promotions & Tenure committee (SRCPT) & School Reappointment Committee (SREC), as required, including, but not limited to, arranging meetings, preparing agendas and meeting papers, taking minutes, compiling faculty dossiers and following up on action points.
- Provide administrative support to the School Search Committee (SSC), as required, including but not limited to, overseeing the arrangements of all activities related to the candidate’s on-campus visits, maintaining links with shortlisted candidates and assisting in preparing relevant reports required in the hiring process.
- Ensure all spending are in accordance with NTU policies and guidelines.
- Assist in budget planning for faculty-related expenses.
- Proper filing and accounting of revenue and expenditure for periodic financial reporting.
- Proper and timely processing of expenses claim incurred by faculty.
- Assist with purchases in accordance with NTU procurement policies and guidelines.
- Conduct due diligence for all procurement, assuring an efficient purchase that balance cost and value.
- Requests for vouchers / hotel bookings for campus visits via PO system
- Manage the logistics of visits by academics and potential candidates for faculty recruitment
- Provide support to faculty on administrative matters such as claims submissions, request for approvals etc
- Provide secretariat support during faculty meetings
Job Requirements:
- Minimally a Degree in Business Administration, or related field, is preferred
- Minimum 3 years’ of working experience in an administrative role
- Relevant working experience in Institute of Higher Learning sector will be advantageous
- Strong proficiency in MS Office suite, and online productivity tools
- Possess excellent interpersonal and communication skills
- Able to work individually and collaborate with others as a team
- Strong planning, organizational and problem-solving skills
- Independent and possess strong multi-tasking abilities
- Meticulous and attentive to details
