They are seeking an ambitious and professional Executive Assistant to join their Singapore office's Support team. This role offers the opportunity to work in a flat structure that encourages open communication and collaboration across sectors, geographies, and functions. The successful candidate will be part of a diverse team of over 300 individuals worldwide.
As an Executive Assistant, your primary responsibilities will include managing the day-to-day calendar scheduling for the investment professional team, handling travel arrangements, and providing other administrative support. You will also assist the Office Manager in managing the office's administrative duties. Your role will extend beyond traditional secretarial tasks; you will be expected to coordinate both internal and external client meetings across different geographical time zones, handle business travel arrangements, and manage various administrative tasks. Your ability to work independently, proactively, and exercise good judgement will be crucial to your success in this role.
The ideal candidate for this Executive Assistant position should have a minimum of 5 years of experience in an international IB, PE or management consulting industry. Proficiency in Microsoft Office suite is essential. You should be highly driven and motivated to work in a fast-paced environment. Excellent organisational skills and attention to detail are key attributes we are looking for. Your ability to work independently while being proactive and exercising good judgement will set you apart. Being highly personable with excellent communication skills is crucial as you will be required to create relationships across the Group’s network.

- Provide general secretarial and administrative support to a team of 3-4 investment professionals
- Manage team’s calendar, schedule meetings, including logistics, restaurant arrangement and catering if need be
- Coordinate internal and external client meetings across different geographical time zones
- Handle business travel arrangements including flights, accommodation, car hire and visa applications
- Support Office Manager in managing general office’s administrative tasks such as procuring office supplies, office housekeeping, and maintenance of office equipment
- Manage deliveries correspondence, meeting rooms booking and greeting visitors
