Summary
The objective of the position is to:
- Provide a full spectrum of secretarial and administrative support to the Senior Director, IT
What you'll do
- Provide full spectrum of secretarial and administrative support to the Senior IT Director by managing/maintaining up-to-date schedules of appointments, business functions and travel arrangement
- Coordinate logistics needs for business meetings or conferences and prepare meeting agenda, minutes or related materials for specific meetings
- Organise IT vendor calls & meetings, NDAs, SOW review with Procurement and Legal
- Administer the licenses for IT Applications, coordination with Procurement
- Publish / Refresh 2 months advance leave plan of IT Team
- Handle internal and external business correspondences independently
- Handle confidential information and maintain proper filing system
- Manage to support other ad-hoc projects and duties
- Support during budgeting by collating IT streams submission for review and internal discussions
- Prepare presentations and participate in department planning meeting
- Share meeting minutes that involves Snr IT Director and directs meetings that are organised by Department Head
What you'll need
- Degree holder with minimum 5 years of relevant secretarial experience
- Good command of spoken and written English
- Experience in buying office / trading / manufacturing industry is a plus
- Excellent computer literacy and Microsoft Office skills
- Mature, detailed minded, fast learner, well organised with strong sense of responsibility
- Flexible, able to work independently under pressure and multi tasked
- With high level of personal integrity and good communication skills
- Strong presentation and writing skills
