Job Purpose:
The Executive Asssistant / Senior Executive Assistant is to provide the main administrative support for the Centre for Reproductive Education and Specialist Training.
Job Responsibilities:
- Primary Responsibilities:
- Main contact point for course applicants and international visitors to CREST.
- Key coordinator for courses and events including but not limited to logistics planning and preparations, course payment collection, F&B arrangements and gather course participants' feedback.
- Handle purchase and work requisition processes, from calling suppliers for quotation to submitting invoices to Finance for payment.
- Undertake administrative tasks such as prepare statistical reports, update budget utilization and inventory databases.
- Liaise with cross departments and vendors to ensure prompt maintenance of equipment, consistent supply of comsumables, and upkeep cleanliness of CREST.
- Support department operations and work closely with O&G clinics, clinicians and embryologists.
- Perform any other duties assigned by Reporting Officr.
- Secondary Responsibilities:
- Collect and despatch documents from / to areas within the hospital premises.
- Requisite, control and maintain good utilisation of office supplies within CREST.
Job Requirements:
- Minimally 'A' Level or Diploma from any discipline.
- At leaset 1-2 years of administrative and clerical working experience.
- Well versed in Microsoft Word, Excel and PowerPoint.
- Have good understanding of accounting and figures.
- Meticulous with strong organisation skills, good communication and interpersonal skills.
- Good command of English, language, with good communication and interactive skills.
- Able to multi-task and work independently under minimal supervision.
- A good working attitude, initiative and flexibility are essential.
- Willing to work weekends and public holidays when operationally required.
