Job Purpose:


The Executive Asssistant / Senior Executive Assistant is to provide the main administrative support for the Centre for Reproductive Education and Specialist Training.


Job Responsibilities:


  • Primary Responsibilities:
    • Main contact point for course applicants and international visitors to CREST.
    • Key coordinator for courses and events including but not limited to logistics planning and preparations, course payment collection, F&B arrangements and gather course participants' feedback.
    • Handle purchase and work requisition processes, from calling suppliers for quotation to submitting invoices to Finance for payment.
    • Undertake administrative tasks such as prepare statistical reports, update budget utilization and inventory databases.
    • Liaise with cross departments and vendors to ensure prompt maintenance of equipment, consistent supply of comsumables, and upkeep cleanliness of CREST.
    • Support department operations and work closely with O&G clinics, clinicians and embryologists.
    • Perform any other duties assigned by Reporting Officr.
  • Secondary Responsibilities:
    • Collect and despatch documents from / to areas within the hospital premises.
    • Requisite, control and maintain good utilisation of office supplies within CREST.

Job Requirements:


  • Minimally 'A' Level or Diploma from any discipline.
  • At leaset 1-2 years of administrative and clerical working experience.
  • Well versed in Microsoft Word, Excel and PowerPoint.
  • Have good understanding of accounting and figures.
  • Meticulous with strong organisation skills, good communication and interpersonal skills.
  • Good command of English, language, with good communication and interactive skills.
  • Able to multi-task and work independently under minimal supervision.
  • A good working attitude, initiative and flexibility are essential.
  • Willing to work weekends and public holidays when operationally required.
