Job Description:

Client Interaction & Patient Care:

  • Greet clients and their pets warmly, ensuring a professional and welcoming experience from check-in to departure.
  • Address client inquiries promptly, providing clear information about services and treatments.
  • Assist clients with the check-in and check-out process, ensuring a smooth experience.
  • Support clients with emotional needs, understanding the sensitive nature of veterinary care, especially during emergencies.

Patient Registration & Communication:

  • Accurately register patients, collect required documentation, and process check-ins for routine and urgent cases.
  • Communicate effectively with clients and the veterinary team to ensure the correct care plan is followed for each patient.
  • Maintain accurate patient records and update client information as needed.
  • Keep clients informed about wait times, treatment updates, and any other relevant information during their visit.

Administrative Support:

  • Manage clinic paperwork, process payments, and maintain organized records in line with hospital protocols.
  • Handle phone calls, emails, and texts with professionalism, scheduling appointments and following up on inquiries.
  • Prepare and manage billing and payment transactions, ensuring accuracy and efficiency.
  • Maintain clinic cleanliness and organization in the reception and administrative areas.

Concierge Services:

  • Foster a welcoming, calm atmosphere in the reception area, ensuring clients and pets feel comfortable and cared for.
  • Assist with the planning and coordination of special events and promotions, representing Beecroft at external events.
  • Help maintain client loyalty ensuring a personalized experience for clients.

Team Collaboration & Support:

  • Work closely with the veterinary team to ensure a seamless client experience, assisting with other tasks as needed.
  • Support veterinarians and technicians with patient intake, transporting animals when necessary
  • Help manage and prioritize client flow, especially in busy or emergency situations, ensuring optimal service levels.

Other Duties:

  • Other tasks and responsibilities will be assigned to support the daily operations of the hospital, facilitate patient care, and ensure excellent service delivery.

Experience:

  • A minimum of three (3) years of proven experience in a veterinary clinic, medical clinic, or customer service role is required.
  • Animal Welfare Passion: A strong commitment to providing excellent care to both animals and clients.
  • Dependability: Ability to work well under pressure in a fast-paced environment.
  • Communication Skills: Strong verbal and written communication skills with the ability to collaborate effectively with the team.
