Overall Function:
Based in Singapore, the role is to work closely with the Head of Corporate Finance APAC by providing full secretarial and administrative support as well as render administrative support to the CF APAC team.
Key Responsibilities:
• Provide general secretarial and admin duties.
• Manage the schedules, appointments and organize meetings and conference calls of the Head of CF APAC.
• Manage expenses and make travel arrangements for the Head of CF APAC and all CF team members.
• Prepare and submit expense claims for the Head of CF APAC and CF Singapore Managing Directors, and Directors.
• Assist in arranging and executing CF events such as offsites, trainings, including managing & coordinating with internal and external service providers; logistics, organization; costing, sourcing etc.
• Assist visiting colleagues (from CF APAC, Europe and Americas) in their admin requirements, setting up of meetings.
• Prepare and submit periodic reports to ORM such as clean desk, KRI assessment.
• Maintain the CF Singapore Hospitality Register for Gifts & Entertainment.
• Assist the Head of CF APAC in the monitoring of the monthly OPEs report for submission to Finance.
• Ensure the CF team complies with Compliance requirements such as e-trainings/compliance training or refresher.
• Arrange for the onboarding requirements of CF APAC New Joiners (regular, STAs, LTAs, interns) and offboarding requirements of CF APAC Leavers.
• Manage IT requests and issues.
• Arrange and monitor CF office supplies.
• Handle daily correspondence, including mails, letters and related documents.
• Familiarize with relevant and necessary ING software and databases.

Special Duties:
• To assist the Head of CF APAC in special projects such as team audit, CF client events.
• CF Europe’s point of contact in CF APAC.
Requirements:
• Minimum 7-10 years of experience in secretarial works.
• Experience in a similar position in a front office is an asset.
• Flexible person who can be good at multi-tasking.
• High level of self-motivation.
• Willingness to learn and openness to take on new things.
• Ability to work both on day-to-day administrative tasks and more comprehensive business support tasks.
• Strong team player.
• Strong communications skills and comfortable in dealing with internal and external client and stakeholders.
• Detailed-oriented and systematic.
