What You Will Be Doing

The successful candidate will provide administrative support for the Office of the Provost (PVO).

The candidate should possess strong communication and interpersonal skills, as he/she will work closely with academics and other administrative executives. The candidate’s proficiency in multitasking and attention to detail will enable him/her to efficiently manage diverse administrative tasks and projects within specified timelines.

The candidate will report to the senior executive, engaging in a diverse range of responsibilities including, but not limited to:

  • provide administrative support to the Deputy Provost and Assistant Provosts by managing calendars, scheduling meetings, coordinating appointments, preparing materials for meetings, presentations and reports.
  • collaborate with the academic cluster and administrative divisions to streamline processes and implement new workflows.
  • support the office in executing new initiatives and ensure effective delivery of work plans.
  • provide secretariat support for meetings, including preparation and documentation.
  • support the development and enhancement of HR policies and processes within the academic cluster, ensuring alignment with institutional goals and best practices.
  • process claim submissions, purchases and payment requests.
  • coordinate office activities.
  • plan office resources and budget.
  • liaise with adjunct and visiting academic staff and coordinate external visits.
  • participate in institute-wide activities such as Orientation Day, Open House and examinations invigilation.

Job Requirements

  • Degree in any discipline
  • 1 to 2 years of relevant working experience
  • Able to work independently and exercise critical thinking
  • Good time management, mature and meticulous
  • Team player and possess effective interpersonal skills with excellent command of written and spoken English plus at least one other language
  • Proficient in most Microsoft Office applications
