Job Summary:
You will be responsible for assisting with accounts and providing administrative support to our lawyers. You should be able to work independently, manage multiple tasks efficiently, and have a strong understanding of legal terminology and procedures.
Key responsibilities include:
- Assist in accounts entries, raise payments and record claims;
- File opening and billing / invoicing matters;
- File and document management including managing calendars, scheduling appointments, travel bookings, printing and saving documents;
- Conduct various searches such as business profile, people profile and cause book searches;
- Support lawyers in hearing / trial preparation, including organizing exhibits and preparing trial binders;
- Handle phone calls, emails, and other communications;
- Arranging for registered post and dispatches; and
- Pantry and receptionist duties where required.
Qualifications:
- Proven experience as an Accounts & Admin Assistant or in a similar role.
- Knowledge of legal terminology, procedures, and Court rules.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), legal software (e.g. Clio, Filevine) and accounts software (e.g Xero, Quickbooks)
- Excellent organizational and multitasking skills with a keen attention to detail.
- Ability to work independently with minimal supervision and prioritize tasks effectively.
- High level of professionalism, integrity, and confidentiality.
Additional Qualities and Experience
- Experience handling law firm accounts and claims.
- Experience with billing software and time tracking systems.
- Familiarity with ICMS and e-Litigation.
- Problem-solving skills and a proactive approach to work.
