We are seeking a Senior Executive for Lease Administration (Office) on a one-year contract to join our dynamic team!

Main Duties & Responsibilities:

  • Assisting the team leads on maintaining effective work processes and review on regular basis to improve efficiency and meet new goals and objectives. Proactively correct any deficiencies to meet audit compliance.
  • Providing guidance and coach the junior team members.
  • Providing administrative support for activities related to the Marketing/Leasing Department and ensure that high-quality work is produced within established deadlines.
  • Preparing Letter of Offer and Lease and other related documents, standard Letters and memo.
  • Processing lease documentation and ensure all the information is accurate and logged onto lease database (MRI) and filed appropriately. Create and update data in MRI system.
  • Coordinating all legal communications with lawyers and Landlords.
  • Verifying approved lease terms of the leases.
  • Tracking and coordinating timely execution of leases and other legal documents.
  • Tracking ongoing working documentation in progress to ensure timely execution and processing.
  • Following up with lawyers, tenants, landlords on outstanding lease documents and payments.
  • Maintaining accurate files and records that may be easily accessed by all and keep them organized within an archive.
  • Maintaining ongoing filing of legal notifications, leases, etc. to the actual lease files (electronic and hard copies).
  • Maintaining accurate lease and tenant contacts database information.
  • Updating tenant contact list on regular basis.
  • Preparing management’s monthly and quarterly reports and adhoc reports.
  • Providing assistance in preparing materials, compiling statistical information, and other special projects when required.
  • Processing refund of security deposit on timely basis and landlord's works for approval and payment for invoices.

Job Requirements:

  • Minimum 3 - 5 years of relevant experience preferably in commercial real estate.
  • Proficiency in MS Office applications.
  • Experience with contract review and negotiation.
  • Ability to multi-task and manage multiple priorities simultaneously.
  • Ability to work independently and maintaining confidentiality and professionalism.
  • Excellent interpersonal and communications skills.
  • Well organized, detail oriented and good team player.
  • Good command of written and spoken English
