This is a newly created role to join our regional team as Regional Team Support Coordinator!

The successful candidate is responsible for providing administrative and executive assistant (EA) support to leadership team members, overseeing internal and external stakeholders on office administrative tasks to ensure smooth and efficient management of activities.

This role will commence in 2025.

About our role:

Our Regional Team Support Coordinator will:

  • Act as a central and key contact person for MVH Asia Regional President, CFO and P&O Director on all matters regarding their accommodation, travel and transportation arrangement, meeting room booking, courier and mailing assistance, calendar/ schedules maintenance and other general administrative assistance including managing expense claims.
  • Other administrative duties include handling/filing confidential paperwork and maintaining databases.
  • Provide administrative support and personal assistance to the leadership team upon request (If any).
  • Liaise with local, regional and global stakeholders for smooth coordination of meetings and events.
  • Provide support and assistance in the administration and organization of global & regional meetings/events requested including on ground support and meeting arrangements.

Other Duties

  • Support local market General Manager on accommodation, travel and transportation arrangement, meeting room booking and other general administrative assistance.
  • Coordinate with administrators of other business segments on administrative work and if any update global office database. Collaborate and support One Mars events or Initiatives where on site cross segment coordination and arrangements is required.
  • Check, conduct safety audit and work with all departments to ensure that One Mars office is safe, clean, well-maintained, in good condition and in line with Mars safety standards. This includes managing seating and layout arrangements, partnering suppliers for office.
  • Support P&O matters.

Who are we looking for?

  • Bachelor Degree in any field or equivalent relevant experience.
  • Minimally 3 years work experience as Executive/ Personal Assistant or Office Secretary in international multi-national firms.
  • Excellent command of spoken and written English.
  • Computer Literacy in MS office program.
  • Positive team player who is self-motivated.
  • Flexibility with work timing due to meeting coordination across various time zones.
