Responsible for daily warehouse operations, ensuring coordination and compliance with all necessary documentation, rules, and regulations.Duties and Responsibilities

  • Assist the Marine Logistics Manager in daily operations, including:Engaging and deploying sea staff for vessel assignments.
  • Assessing and identifying high-potential sea staff for specific deployments and promotions.
  • Conducting briefings for sea staff prior to vessel assignments regarding SEMS, charterer requirements, and unique trade or port specifications.
  • Providing operational briefings on vessel and charterer requirements before sea staff join vessels.
  • Monitoring and controlling daily vessel activities.
  • Overseeing budgets related to the Operations Department.
  • Maintaining compliance with Company SEMS, port, and charterer requirements in collaboration with the QHSSE Department.
  • Arranging in-house and approved external training for sea staff.
  • Conducting annual vessel operation inspection audits as assigned by the manager, in coordination with the DPA.
  • Serving as a member of the shore Emergency Response Team for assigned vessels.
  • Acting as an incident investigator when appointed by the Marine Logistics Manager or as required by the Designated Person Ashore.
  • Managing formalities and documentation for sea staff sign-on/off with Flag State, Port Authorities, Immigration, and Customs.
  • Maintaining an efficient filing system for the Operations Department.
  • Sourcing and appointing agencies with the Marine Logistics Manager's approval.
  • Reaching out to former seafarers for redeployment.
  • Recruiting new seafarers and organizing interviews for senior officers with department heads.
  • Verifying seafarers’ certificates and arranging medical check-ups as per charterer requirements.
  • Authenticating seafarers’ certificates with relevant authorities and applying for Flag State licenses.
  • Keeping seafarer personnel files up to date and monitoring certificate and document expirations.
  • Updating crew planning/rotation lists and crew lists.
  • Ensuring crew appraisal assessments are conducted, signed, and filed.
  • Extending crew entry passes and ship landing passes with Singapore Immigration authorities.
  • Declaring immigration clearances and outward port clearances.
  • Updating crew articles, including sign-on/off via MPA Marinet.

Requirements

  • Minimum Diploma in Logistics Supply Chain Management or Business Studies.
  • Experience: 3-5 years in marine lubricant logistics supply operations.
  • Knowledge: Familiarity with port operations and shipping/transport coordination.
  • Skills: Proficient in Excel, with strong planning, scheduling, and marine delivery capabilities.
