Job Summary:

Jeff Supplies Pte Ltd is seeking a dedicated and detail-oriented Administrative Support professional to join our team. This role is crucial in maintaining smooth daily operations, providing excellent customer service, and supporting administrative tasks. As an Administrative Support professional, you will interact with customers, manage records, coordinate service maintenance, and handle invoicing. This is a junior-level position, ideal for someone with at least 2 years of experience in a similar role.

Key Responsibilities:

Customer Interaction:

  • Serve as the first point of contact for customers via phone, email, and in-person communication.
  • Respond to customer inquiries and handle requests promptly and professionally.
  • Provide high-quality customer service by addressing issues, providing updates, and ensuring satisfaction.

Administrative Duties:

  • Perform daily administrative tasks including maintaining business records, processing customer orders, and managing invoicing.
  • Coordinate service and maintenance schedules and ensure timely communication with relevant departments.
  • Update and maintain customer databases and filing systems.

Team Collaboration:

  • Work closely with internal teams to ensure efficient operations and timely completion of tasks.
  • Communicate effectively with team members to resolve issues and improve workflow.

Technology & Tools:

  • Use software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Drive), and Zoom for daily administrative tasks.
  • Ensure proper documentation and filing of digital records and communications.
Qualifications and Skills:

Education & Experience:

  • Minimum of 2 years of working experience in an administrative or customer support role.

Skills:

  • Strong customer service skills, with the ability to handle telecommunications and emails professionally.
  • Proficiency in Microsoft Office Suite, Google Workspace, and Zoom.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Strong organizational skills and attention to detail.

Other Requirements:

  • Must be able to work onsite in Singapore.
  • A proactive attitude with a willingness to learn and adapt in a fast-paced environment.
