JOB RESPONSIBILITIES

  • Preparing pre-tender contract documentation including reviewing specifications, terms & conditions and securing data and information from various depts;
  • Coordinating the Tender Process & responding on Tender queries and performing data extraction, tender evaluation and compliance checks;
  • Check and verify contractors’ background and other information where needed;
  • Attending tender interviews and preparing minutes and awards;
  • Manage contract documentation, including addendums and variations and post tender documentation & management;
  • Review all RFQs & contract information in the ERP system for compliance and verify for correctness & compliance;
  • Facilitating RFQs on behalf of depts. and ensuring compliance to organizational rules;
  • Providing support and advice on operational contractual, procurement and compliance matters including contractual terms and conditions;
  • Updating of related Contracts information and database;
  • Perform administration and filing of Contracts documentation;
  • Communicate with Contractors and vendors including consultants and project teams on contract matters & resolve issues;
  • Securing approvals and issuing letters to consultants and contractors on projects & contract related documents;
  • Providing advice and support to various depts on contracts and procurement and provide regular guidance and training;
  • Perform other duties such as conducting contractors/vendors performance assessments and complying to SOPs & Policies;
  • Any other duties as prescribed by Manager/Supervisor.

JOB REQUIREMENTS

  • Minimum 1 year of relevant experience in a contracts management team;
  • Excellent communication and interpersonal skills both written and oral;
  • Proficient in Microsoft Office;
  • Highly etchical and able to maintain confidentiality;
  • Able to multitask efficiently whilst maintaining strong quality of work and attention to details;
  • Able to work independently and to meet deadlines;
  • Positive attitudes and enthusiastic team player;
  • Good follow up and time management skills.
