Job Responsibilities

  • Carry out administrative functions within Programmes department, ensuring that the department complies with MBS administrative processes
  • Be an active member of the museum’s Admin Group, which includes representatives from each department who carry our administrative tasks
  • Liaise with other departments in MBS, such as HR, Procurement, and Finance, where necessary
  • Collate and distribute both incoming and outgoing mail
  • Maintain the department’s files, ensuring there is adequate data storage systems for record retention, plus measures to ensure the security and confidentiality of files and that the team remains compliant with Marina Bay Sands’ data governance processes
  • Maintain internal Standard Operating Procedure (SOP) documents
  • Coordinate Service Requests from beginning to completion
  • Work closely with the Museum Administration team on monthly General Ledger reports, forecasting and monthly budget reports, and ensure accurate monthly records are kept
  • Maintain a departmental calendar file to ensure required forecasts, budgets are properly prepared and submitted on a timely basis
  • Assist Senior Manager, Programmes on tracking contracts and Statements of Work
  • Work with Senior Manager, Programmes on scheduling and organising team bonding sessions for the and between the broader PEMS team
  • Work with the other teams such as Finance, Ticketing and Marketing as required
  • Assist with the development and implementation of special projects when the need arises
  • Show creativity and passion in expanding and retaining visitors on-site and online
  • Other duties as directed

Job Requirements

Education & Certification

  • No formal education required

Experience

  • Experience of working in a museum, gallery or science centre
  • A good understanding of the museum-sector in Singapore
  • An awareness of, and interest in the Exhibitions, Programmes and educational activities at ArtScience Museum

Other Prerequisites

  • Excellent written and spoken English
  • Computer literate, proficiency MS Office
  • Experience in preparing spreadsheets, budgets and data
  • Ability to work on multiple tasks simultaneously in a fast-paced environment
  • Excellent project and time management skills, with the ability to meet deadlines
  • Good understanding about how to set realistic targets, and monitor progress against targets
  • Strong analytical skills with the ability to identify and resolve problems
  • Good communications skills and the confidence to deal with a range of stakeholders with in a polite and professional manner
  • Outgoing, independent and self-motivated
