Job Purpose

The successful candidate will contribute to the achievement of the University's mission by providing efficient and effective administration of its educational programmes. Based in the Dean's Office, Faculty of Science, the incumbent will play an instrumental role to provide strategic support across a student’s lifecycle to the various Master’s programmes hosted by departments.

Duties & Responsibilities

  • Work closely with Programme Director and Dean's Office to take charge of the end-to-end administration of the postgraduate research-based PhD and MSc programmes throughout the student lifecycle, including student admission, handling student enquiries, student module registration, managing programme website, etc.
  • Collaborate with the Programme Director and Dean's Office to manage the programmes' admission cycles to upkeep the programmes' quality.
  • Manage the administration of the programmes' examinations, including PhD Qualifying Examinations and PhD/MSc thesis examinations.
  • Monitor students' progress under the Graduate Assistance Programme (GAP) and Thesis Advisory Committees (TAC).
  • For Assistant Manager level: Applicant at this level would be expected to oversee the portfolio both strategically as well as operationally with minimal supervision.
  • Provide other administrative support to the Department as deemed necessary.

Requirements

  • Academic qualification: Bachelor degree from a recognized University.
  • Prior working experience (minimum 3-5 years), especially in an administrative position in the higher education sector, would be advantageous.
  • Fast learner, positive work attitude, proactive and self driven with a high degree of professional integrity.
  • Good time management and organizational skills, able to multitask efficiently.
  • Meticulous, detail oriented with strong numeracy abilities, reliable and conscientious.
  • Strong analytical and problem-solving skills.
  • Strong communication (verbal and written) and interpersonal skills.
  • Independent and a self-starter yet a team player.
