Job Overview:

We are seeking a motivated and enthusiastic Administration Assistant and Receptionist Intern to join our team. The intern will serve as the first point of contact for our company, greeting visitors, answering and redirecting phone calls, managing office supplies, and performing various administrative duties. Key Responsibilities:

  • Greet and welcome visitors: Ensure all visitors are greeted warmly and directed to the appropriate person or office.
  • Answer and direct phone calls: Handle incoming calls, provide information, and transfer calls to the relevant departments.
  • Maintain a tidy and presentable reception area: Ensure the reception area is clean and organized.
  • Manage customer records: File customer records, work orders, and invoices accurately.
  • Receive, sort, and distribute mail: Handle daily mail and deliveries efficiently.
  • Perform clerical duties: Maintain databases, file documents, scan, and photocopy as needed.
  • Manage office supplies: Oversee inventory for stationery, pantry supplies, uniforms, and PPE, placing orders when necessary.
  • Ensure cleanliness: Maintain a clean front desk area, conference room, and storeroom.
  • Company vehicles administration: Assist in the administration of company vehicles.
  • Support daily operations: Provide support for general office administration and daily operational activities.
  • Maintain confidentiality: Ensure sensitive information is kept confidential.
  • Ad-hoc tasks: Perform any other tasks as assigned.

Requirements:

  • Education: High school diploma or equivalent; additional certification in office administration is a plus.
  • Experience: Previous experience as a receptionist or in a similar customer service role is preferred. Experience in the automotive industry is an advantage.
  • Language skills: Proficiency in both English and Chinese (Mandarin) is required.
  • Communication skills: Excellent verbal and written communication skills.
  • Technical skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Organizational skills: Strong organizational and multitasking abilities.
  • Professionalism: Positive attitude and professional appearance.
