RESPONSIBILITIES:

Order Processing

  • Handle the processing of quotations, purchase orders, and sales orders.
  • Generate PO and place order to factory for spare part and machine thru email or portal.
  • Verify customer PO, cost sheet, quotation prior to data entry into system
  • Ensure accurate information are entered in SFDC tools
  • Monitor and follow up on sales and purchase order activities
  • Generate Proforma Invoice for advance customer.
  • Check the completeness of the Document After Service (Service Report, Machine Acceptance, Training Attendance) for billing purpose
  • Ensure timely delivery for both internal stakeholders and external customers by coordinating with customers, vendors, stakeholders to meet delivery requirements.
  • Checking DO and Invoice from Supplier/factory against PO issued before posting in ERP.
  • Oversee inventory management, including tracking stock levels and movement.

Import/ Export

  • Prepare for Packing List and Commercial Invoice for Customs purpose
  • Liaise with freight forwarder on detail shipment (ETD, ETA) and quotation
  • Liaise with Customer to review the Bill of Landing Draft and Shipment Draft before generating final document.

Licensing Portal

  • Manage and update all licensing activities in HCP portal.
  • Trouble Shooting for licensing upon request.
  • Sending the license file for reseller once received payment
  • Update the license expired date according to the contract term
  • Prepare manual Tax invoice for License Compliance case.

QUALIFICATION/ REQUIREMENTS

  • Minimum Diploma in Business/Sales & marketing or related discipline
  • Minimum 5 years of proven experience in order management, shipping or related role
  • Experience with Salesforce (SFDC)/ Service Max/ HCP/ Navision tools
  • Strong communication (oral and written) and inter-personal skills
  • Able to interact effectively with all levels of staffs, both locally and overseas
  • Meticulous with a keen eye for details
