Admin Assistant – Support Desk

Job Description

· Attending to answering phone calls or walk-ins.

· Handle overall admin matters such as pantry orders, office equipment upkeep, distribute incoming mails, faxes, e-mails, Review and check invoices and follow up as needed, stationery usage, safe-keep filing, All data/documents as required to be periodically saved on server/cloud, courier services, generating quotation for customer and liaising with suppliers for quotations, Office equipment servicing/maintenance contracts, organizing Company’s staff-related activities and general housekeeping of the office environment.

· Preparation of documents for daily deliveries and supervise items preparation, physical verification of items as per Delivery order, overall appearance before despatch. Similarly for Incoming of goods receiving properly, physically verified and prepare documents as per procedure, including assisting GRN.

· Print and prepares and issues Invoices & Delivery Orders to Clients in a timely and accurate manner and post it. Print labels for items in stock and supervise its pasting

· Preparing periodic reports as required for local or back office requests .

Verify invoices/ documents from suppliers, forwarders and various agencies against items/services received to ensure that correct amount is billed before submitting to accounts for processing.

· Data entry for service team’s job activation. To check all service reports & input into the database and filing.

· Organise and coordinate international travel arrangements, hotel bookings including visa applications for the Partners/Principals/Employees

· Communicate with internal overseas group offices, document requirements of external clients, Communicate with suppliers/institutions including liaising with government agencies as needed.

· Handles any ad-hoc duties as assigned.

Qualification:

· Candidate must possess at least a Diploma or Degree

· At least 4 years of working experience

· Bilingual in English and Mandarin (to handle queries and communicate effectively with our Mandarin speaking clients). Fluency in speaking and writing English.

· Computer literate – good working knowledge of MS office, Knowledge of SAP is advantage.

· Operates with a high level of integrity.

· Demonstrates high-level of discretion and ability to identify and safe-keep confidential/sensitive information.

· Good interpersonal skills, Team-player and service oriented.

· Singaporean citizen/PR.

Benefits:

· Basic salary $1,500

· Position is for Part-timer, working for one half of day (Working timings are within Mon-Fri, 8.45am to 12.45pm).
