Key Responsibilities
Human Resources
- Recruitment & Onboarding: Assist in the recruitment process, including posting job ads, screening resumes, scheduling interviews, and conducting initial candidate assessments. Prepare employment contracts and handle the onboarding process for new hires to ensure a smooth transition into the company.
- Employee Relations: Act as a point of contact for employees, addressing their inquiries and concerns regarding HR policies, benefits, and work conditions. Help maintain positive employee relations by promoting a healthy work environment and resolving any workplace issues promptly.
- Payroll & Benefits Administration: Support payroll processing by collecting and verifying attendance records, overtime, and other relevant data. Assist in the administration of employee benefits programs, including medical insurance and leave entitlements, ensuring accurate and timely updates.
- HR Compliance & Documentation: Ensure compliance with local labor laws and regulations by maintaining up-to-date knowledge of relevant legislation. Manage HR records and documentation, ensuring they are accurate, confidential, and readily accessible when needed.
Administration
- Office Management: Oversee day-to-day office operations, including managing office supplies, equipment, and facilities. Coordinate office services such as cleaning, maintenance, and IT support to ensure a comfortable and functional work environment.
- Travel & Event Coordination: Arrange business travel and accommodation for employees, ensuring cost-effectiveness and compliance with company policies. Assist in organizing company events, meetings, and conferences, including venue booking, catering, and logistical arrangements.
- Document Management: Maintain organized filing systems (both electronic and physical) for company documents, contracts, and records. Ensure proper documentation and confidentiality of sensitive information.
- Reception & Front Desk Support: Provide reception services, greeting visitors, answering phone calls, and directing inquiries to the appropriate personnel. Manage incoming and outgoing mail and courier services.
Requirements
- Educational Background: A diploma or bachelor's degree in Human Resources, Business Administration, or a related field is preferred.
- Work Experience: At least 3 years of experience in HR and administration roles. Fresh graduates with strong internships or relevant project experience may also be considered.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint). Familiarity with payroll and benefits administration is a plus.
- Language Skills: Fluent in Mandarin both speaking and writing to communicate with Mandarin speaking associates.
- Legal Knowledge: Basic understanding of Singapore labor laws and HR compliance requirements.
