General Responsibilities:

The Operations Executive is responsible for the smooth and efficient execution of day-to-day operations and logistics related to study tours and camps. This includes managing logistics, coordinating with vendors, overseeing on-ground staff, and maintaining high standards of safety, quality, and customer satisfaction. The role also includes warehouse management, stock taking, and stock keeping to support operational readiness and ensure all materials and supplies are available and properly managed.

Key Responsibilities:

1. Tour Coordination & Logistics

Plan, coordinate, and execute all aspects of study tours, including transportation, accommodation, meals, activities, and excursions.

Ensure all logistical components are seamlessly aligned to deliver a high-quality experience for participants.

2. Procurement of Services

Handle procurement of services such as ticketing for excursions, booking of accommodations, and sourcing other logistics-related needs.

Liaise with service providers to ensure timely and accurate delivery of services aligned with program schedules.

3. Cost Management

Prepare and manage operational budgets for each study tour.

Ensure efficient use of resources while maintaining the expected level of quality.

4. Risk Management & Safety

Conduct risk assessments and enforce health, safety, and emergency procedures.

Ensure compliance with insurance and legal regulations across all operational activities.

5. Quality Control

Monitor the quality and consistency of service delivery across all tours.

Gather participant feedback and implement improvements as needed.

6. Problem Solving

Handle unforeseen operational challenges and last-minute changes efficiently.

Work calmly under pressure to ensure minimal disruption to the tour experience.

7. Collaboration with Sales & Marketing

Coordinate with the sales and marketing teams to ensure smooth tour execution.

Share operational insights and client feedback to help shape future programs and offerings.

8. Reporting & Documentation

Maintain accurate records of itineraries, vendor agreements, budgets, operational logs, and feedback.

Provide regular updates and reports to senior management on performance and areas for improvement.

9. Warehouse Management & Inventory Control

Oversee the day-to-day operations of the warehouse, ensuring it is organized, secure, and functional.

Conduct regular stock takes and maintain accurate inventory records.

Ensure all supplies, materials, and equipment required for camps and tours are stocked, stored properly, and dispatched in a timely manner.

Manage stock levels to avoid shortages or overstocking, and coordinate restocking based on tour schedules.

Requirements:

Fluency in English and Chinese or Korean is essential.

Minimum academic qualification: A-Level or equivalent. Diploma or higher education preferred.

Proficient in Microsoft Office, especially Excel, Word, and PowerPoint.

Strong organizational and problem-solving skills with a keen eye for detail.

Prior experience in operations, logistics, or tour management will be an added advantage.
