
Back Office Operations Specialist
We are looking for a dedicated and adaptable Back Office Operations Specialist to join our Private Banking team in Singapore. This role will support the PB COO in delivering operational excellence across key functions, including account opening and KYC, loan operations, remittance processing, and deposit management. The ideal candidate will be responsible for a variety of operational tasks, ensuring compliance, accuracy, and timely execution in a controlled environment.
1. Account Opening & KYC Operations:
- Account Opening: Process and manage the account opening requests for new clients, ensuring that all documentation is complete and complies with internal procedures and regulatory requirements.
- KYC (Know Your Customer): Conduct thorough KYC checks for new and existing clients, ensuring compliance with AML (Anti-Money Laundering) regulations and other banking standards.
- Client Documentation: Collect and verify required client documents, ensuring they are accurately maintained and updated in the system.
2. Lending Operations:
- Credit facilities: Manage the setup and maintenance of credit facilities limits, ensuring timely updates to client accounts.
- Loan Transaction Processing: Process loan-related transactions, including disbursements, repayments ensuring proper documentation and compliance with internal policies.
- Monitoring and Reporting: Regularly monitor loan portfolios, ensuring compliance with agreed terms, and report any discrepancies or issues.
3. Remittance & Deposit Operations:
- Inward/Outward Payments: Process inward and outward payments for clients, ensuring transactions are accurately booked and settled in a timely manner.
- Fixed Deposits: Process fixed deposit transactions, including initiation, maturity, rollover, ensuring proper documentation and compliance with internal policies
- Payment Queries: Handle Front office queries related to payments, including transaction status, discrepancies, and delays, escalating issues as needed.
- Compliance: Ensure all remittance transactions comply with banking regulations and internal policies.
4. System & Process Improvement:
- Participate in User Acceptance Testing (UAT) for system enhancements, ensuring that any upgrades or changes to the system are seamless.
- Regularly review and update Standard Operating Procedures (SOPs) to reflect changes in processes and regulations.
5. Ad-Hoc Duties & Support:
- Audit & Compliance: Support the team during audit engagements, risk assessments, and process reviews, ensuring smooth operation and compliance with regulatory standards.
- Covering Absences: Provide operational support during staff absences, emergencies, or periods of high volume, ensuring the continuity of operations.
Job Requirement
- Experience: At least 3-5 years of solid experience in back-office operations, including but not limited to account opening, transaction processing, loan administration and remittance handling within the financial services industry.
- Skills: Proficiency in Microsoft Office (Excel, Word, PowerPoint). Familiarity with banking platforms and systems is a plus.
- Language Skills: Fluency in Mandarin (both written and verbal) is required for communication with Chinese-speaking clients and counterparts.
- Attention to Detail: Strong attention to detail with the ability to handle complex tasks with accuracy and efficiency.
- Multitasking: Ability to manage multiple responsibilities simultaneously and independently, maintaining high quality and compliance standards.
- Teamwork: A collaborative team player with a positive attitude and willingness to support colleagues as needed
