
Corporate Secretary Admin Executive
Job Responsibilities:Assist the Corporate Secretary in handling a portfolio of clients, ensuring compliance with ACRA and other relevant authorities.
Prepare and lodge corporate secretarial documents with ACRA, such as incorporation of companies, annual returns, changes in directors, and other statutory filings.
Maintain and update statutory registers and corporate records for clients, ensuring timely filing and compliance with statutory requirements.
Coordinate and prepare agendas, resolutions, minutes, and other necessary documents for board meetings and Annual General Meetings (AGMs). - Assist with the drafting of corporate resolutions, shareholders’ agreements, and other legal documents.
Handle the submission of relevant statutory filings and ensure deadlines are met.
Assist in Know Your Client (KYC) processes, including conducting due diligence and maintaining compliance with Anti-Money Laundering (AML) regulations.
Manage client communications, including responding to inquiries related to corporate secretarial matters and ensuring a high level of customer service.
Ensure proper document control, organizing and managing both digital and physical files for easy retrieval.
Support with the opening of bank accounts for clients and provide assistance with corporate changes, such as transfer of shares or director appointments.
Maintain a high level of confidentiality and secure handling of sensitive corporate information.
Any other ad-hoc job assigned by manager.
Qualifications and Skills:
Minimum GCE "O" or "A" Level.
At least 1-2 years of relevant experience in corporate secretarial practice, preferably within a CSP or profes-sional services firm.
Familiarity with Singapore’s Companies Act and corporate governance requirements.
Knowledge of regulatory filings with ACRA via BizFile+ is highly preferred.
Experience in handling corporate filings for offshore entities is an advantage.
Strong attention to detail and excellent organizational skills.
Good written and verbal communication skills.
Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Ability to work independently and collaboratively within a team.
