Job Description

This role reports to the AD, IT Administration and is responsible for overseeing the strategic operational management of IT buildings and facilities, ensuring workplace safety, efficiency, and compliance with university standards. The Assistant Manager plays a pivotal role and coordinate with various stakeholders to achieve high performance in facilities management.

Duties and Responsibilities
Building & Facilities Management
  • Develop and execute a strategic plan for building maintenance and facilities operations, ensuring alignment with organizational goals.
  • Conduct comprehensive audits and inspections to proactively identify and resolve facility-related issues, optimising operational efficiency.
  • Collaborate with University Campus Infrastructure departments and external contractors to negotiate and oversee contracts, ensuring quality service delivery.
  • Strategically manage office space planning, incorporating data and analytics to optimize space utilisation and workplace efficiency.
  • Oversee the comprehensive management of door access systems, including policy formulation, system upgrades, security audits, and compliance with safety standards.
  • Drive initiatives for technology enhancement and innovation in facilities management, including the AV equipment in our office spaces and integration of smart building technologies.
  • Analyse and report on facilities performance metrics and provide strategic recommendations to senior management.
  • Ensure the overall upkeep and sanity of the office and its premises
Workplace Safety
  • Develop and implement comprehensive workplace safety programs, policies, and procedures to promote a culture of safety and compliance.
  • Lead the planning and execution of fire safety and emergency preparedness drills, ensuring readiness and compliance with regulatory requirements.
  • Analyse safety incident data and lead investigations to determine root causes, implementing corrective action plans to mitigate risks.
  • Facilitate training and development programs for fire wardens and first aiders, ensuring competency and preparedness.
  • Regularly review and update the Fire Evacuation Plan and Floor Register to ensure accuracy and compliance.
Leadership & Strategy
  • Serve as the primary liaison for facilities management between NUS IT and external stakeholders, fostering strong relationships and collaboration.
  • Lead cross-functional teams in projects related to facilities upgrades, ensuring timely delivery and alignment with strategic objectives including office renovations.
  • Evaluate and implement innovative solutions for energy management and sustainability initiatives within the facilities.
  • Provide expert advice and guidance to senior management on facilities management strategies and best practices.
Qualifications
  • Bachelor’s Degree/Diploma in Building & Facilities Management or any other relevant qualification.
  • Minimum 5 years of experience in facilities management, with a proven track record of leadership and strategic decision-making.
  • Excellent verbal and written communication and interpersonal skills, with the ability to influence and negotiate at all levels.
  • Demonstrated ability to deliver high standards of service and operational excellence.
  • Strong strategic thinking and analytical skills, with the ability to drive continuous improvement initiatives.
  • Proficient in facilities management software and MS Office applications, with a keen interest in emerging technologies.
  • Certification in Fire Safety and/or Workplace Safety Management is advantageous.
