Key Responsibilities:
- Executive Support
Manage and coordinate the COO's calendar, scheduling meetings, appointments, and travel arrangements.
Prepare and organize agendas, documents, and reports for meetings.
Screen and prioritize emails, calls, and correspondence on behalf of the COO.
Act as a liaison between the COO and both internal and external stakeholders, including Japanese-speaking partners. - Administrative & Office Management
Handle document preparation, filing, and data management.
Ensure accurate documentation of meeting minutes and follow up on action items.
Coordinate and support internal and external events as required.
Maintain confidentiality of sensitive business and personal information. - Visa & Travel Coordination
Manage the COO's visa applications, including document preparation, submission, and follow-up with embassies or visa agencies.
Track visa validity, ensuring timely renewals or re-applications as needed.
Stay updated on visa policies and travel regulations for various countries.
Arrange flights, accommodations, and transportation for the COO’s international and domestic travel. - Project & Task Coordination
Assist in monitoring and tracking key projects to ensure deadlines are met.
Conduct research and compile reports to aid decision-making.
Liaise with various departments and teams to ensure seamless communication and collaboration. - Expense & Reimbursement Management
Process and track expense claims, ensuring compliance with company policies.
Maintain accurate financial records for the COO’s travel and administrative expenses. - Additional Duties
Provide ad hoc support for special projects and initiatives.
Assist the COO with personal tasks as required.
Job Requirements:
- Minimum Diploma
- Minimum experience of 2 years as a Personal Assistant
- Native English speaker and hold a Japanese Language Proficiency Test JLPT N1 or N2 certification or
- Native Japanese Speaker and TOEIC 700 above
