
Receptionist
Position Overview:
The role is responsible for ensuring a welcoming and professional office environment by managing front desk operations, office upkeep, and administrative support. This position plays a key role in facilitating smooth daily office operations, coordinating meetings, handling travel arrangements, and supporting the leadership team with administrative tasks.
Key Responsibilities:
· Greet, welcome, and assist guests promptly upon their arrival at the office, ensuring a positive first impression.
· Maintain the cleanliness and organization of the office area, reporting any defects and coordinating necessary repairs.
· Ensure all meeting rooms are well-equipped with necessary stationery and writing materials and make necessary arrangements before business meetings.
· Manage pantry and office supplies, including inventory tracking and ordering to ensure availability.
· Handle incoming and outgoing mail, courier services, and document dispatch.
· Provide travel support for Senior Leadership team, including booking flights, accommodation, and transportation as required.
· Perform other administrative and ad-hoc tasks as assigned by the Managing Director or reporting manager.
Requirements:
· Minimum of a Diploma in Business Administration, Office Management, or a related field.
· At least 2–3 years of experience in office administration, reception, or a similar role.
· Strong organizational skills with attention to detail and the ability to multitask efficiently.
· Excellent communication and interpersonal skills, with a warm and professional demeanor.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· Ability to handle confidential information with discretion.
· Proactive and resourceful, with the ability to work independently and as part of a team.
· Prior experience in managing travel arrangements and office supplies is an advantage.
· Ability to work after office hours as and when required.
