Key Responsibilities
- Oversee day-to-day office administration to ensure smooth operations.
- Provide comprehensive secretarial and administrative support to management, including board-related matters, meeting coordination, presentation reports and take minutes and follow up on action items to ensure timely completion.
- Manage management’s calendars, schedule appointments, and coordinate meetings and overseas business trips.
- Handle correspondence, including emails and phone calls, ensuring prompt responses.
- Maintain an organized filing system for easy access to up-to-date documents.
- Oversee facility management, including the maintenance of office equipment and supplies.
- Manage the procurement and administration of office supplies and pantry stock.
- Organize company events, staff activities, and handle corporate/staff gifts.
- Provide personal assistance to management when required.
- Support various projects and any other ad-hoc duties as assigned
Requirements
- Minimum Diploma in Business Administration or a related field.
- At least 3 years of administrative and secretarial experience, preferably with exposure to event management and management-level support.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Strong written and spoken communication skills in both English and Chinese
- Highly organized, detail-oriented, and able to multitask effectively in a fast-paced environment.
- Professional demeanor with a strong work ethic and discretion.
- Excellent interpersonal and communication skills.
- Ability to work independently while collaborating effectively with various teams.
