KEY RESPONSIBILITIES

The Retail Operations Specialist supports sales, inventory, and administrative functions to ensure smooth retail operations, achieve financial targets, enhance customer satisfaction, and improve overall efficiency.

Operations Support

  • Generate and compile daily, weekly, and monthly sales reports, tracking performance and addressing discrepancies.
  • Ensure timely submission and accuracy of store reports, following up on outstanding issues.
  • Track and resolve customer complaints in coordination with District Manager and provide summarized reports for service improvements.
  • Conduct Store Compliance Audit, follow up on non-compliance issues and take corrective actions as needed.
  • Upload store targets
  • Ensure accurate and timely promotion settings in Xstore
  • Manage content and task assignments through retail platforms such as Yoobic
  • Prepare and validate month-end incentive reports (e.g., commissions, overtime, replacement hours) according to payroll timelines
  • Drive recruitment through direct sourcing and external agencies to meet staffing needs, manage the interview process, ensure cost-effective hiring, and support manpower planning, all while improving retention.
  • Act as a liaison between corporate teams and store staff, ensuring clear and efficient communication.
  • Collaborate with supply chain, merchandising, and marketing teams to support retail initiatives and ensure alignment with operational goals.

Inventory Management

  • Act as the liaison between stores, logistics providers to ensure smooth inventory flow.
  • Monitor and coordinate deliveries between distribution center and stores to maintain optimal stock levels.
  • Lead and oversee periodic stock-take across stores.

Administrative Support

  • Serve as the point of contact for new store openings, remodels, and closures, coordinating logistics and setup.
  • Oversee equipment and IT setup, ensuring timely delivery of essential store systems (e.g., phone lines, NETS, VISA terminals).
  • Handle payment vouchers, reconciliations, and tracking of gift certificates and store expenses.
  • Manage procurement and back-office administration, including ordering supplies and processing payments in SAP.
  • Support the planning and coordination of training programs.

Process Improvement & Compliance

  • Identify and implement operational improvements to streamline store functions and drive efficiency.
  • Provide regular reports on operational performance, offering data-driven solutions to improve processes and enhance overall efficiency.
  • Ensure stores comply with company policies, industry regulations, and health & safety standards.
  • Train store teams on operational processes, new initiatives, and best practices.

Requirements

  • Diploma or Degree with at least 3 years of experience in sales, retail operations.
  • Strong enthusiasm for the retail industry with the ability to engage and collaborate effectively with store teams.
  • Self-motivated, proactive, and capable of working independently.
  • Strong ability to articulate issues, evaluate pros and cons, and implement effective solutions.
  • Excellent verbal and written communication abilities to engage stakeholders at all levels.
  • Strong planning, analytical, and prioritization skills to make quick, informed decisions in a fast-paced environment.
  • Effective reasoning, analytical, and intuitive skills, coupled with reporting experience, to assess and summarize performance metrics for management.
  • Advanced Microsoft Excel skills including pivot table and vlookup.
