The Office & Facilities Executive / Asst Mgr is responsible for overseeing the daily operations, maintenance, and workplace services to ensure a safe, efficient, and well-maintained office environment. This role involves managing vendors, coordinating facility projects, troubleshooting technical issues, and optimizing workplace operations to enhance productivity and employee experience.

About the Role:

  • Daily & Ad-hoc Preventive Maintenance for All Trades & to ensure all service reports are properly completed & submitted on time (Building, Electrical, HVAC, Plumbing,Pest Control, etc).
  • Follow up on service reports for rectifications (if required).
  • Manage & oversee operations on site (Cafe, Cleaning Team, Mail Room, Reception Counter, Office Printers, AV/VC for Meeting Rooms, Facilitate Events such as Table/Chair/Power setup and cleaning).
  • Manage vendors in accordance to SLAs including reviewing and renewing their contracts
  • Basic technical competency to resolve technical issues (i.e. Power Trips, HVAC) to minimize impact to operations
  • Continually review operations & processes to improve efficiency & productivity.
  • Able to communicate with internal customers to resolve Facilities tickets within KPI, provide advice and suggestions to resolve facilities-related requests and enforce facilities policies.
  • Be the cover for Mail Room when Mail Room Staff is on Leave.
  • Prepare and manage tenders/quotations for maintenance and housekeeping services.
  • To raise Purchase Request and Purchase Order.
  • Collaborate with the team to address complaints, feedback, and incidents related to office and facilities maintenance to ensure timely resolution.
  • To liaise with Landlord on season parking, access card, aircon and building related issues.
  • Prepare monthly report and quarterly review report.
  • Undertake any other responsibilities or tasks assigned by the Management


About You:

  • Reputable Diploma or Degree. (Fresh graduates are welcomed to apply)
  • At least 1–3 years of experience in facilities management, operations, or a similar role.
  • Strong understanding Basic Knowledge of both hard and soft FM services
  • Excellent communication and stakeholder management skills.
  • Ability to lead and coordinate a team effectively.
  • Detail-oriented with good organizational and time management skills.
  • Ability to work independently and take ownership of budgets, projects and daily operations.
  • Open mindset, willing to learn attitude and a team player.
