- Performs administrative functions and provides administrative support to project team and/or executive group in field or office as designated by management.
- Transcribe and distribute project documents and correspondence such as the subcontract base, subcontracts, purchase orders and various letters, create and maintain paper and electronic project flies according to company's guidelines.
- Maintain and track project information for project team as directed.
- Follow up with subcontractors regarding project paperwork eg. claim, certificate, delivery order etc as needed.
- Assist project team with closeout coordination and preparation of O & M manuals.
- Work with Executive Director / project manager(s) a directed to achieve departmental objectives.
- Assist Executive Director / project managers to prepare project documentation eg cashflow, progress claim to client, project insurance, schedules etc
- Order supplies for project team/office.
- Maintain personal, office and jobsite space and filing in a neat and organized manner.
- Set up project binders and order project drawings from local printing resources.
- Assist project team in the preparation and distribution of project punch lists to venders/subcontractors.
- Archive all project documentation according to company and/or client requirement.
- Participate in project and/or team meetings as needed.
- Assist with daily planning of managers schedules, meetings, interviews and possibly travel (through corporate agency), if assigned.
- Assist in the implementation of new procedures as designated by company.
- Perform other duties as assigned. Necessary attributes
- Ability to work independently and as part of a team
- Respect for confidential information; good judgement.
- Flexible, detail-oriented
- Ability to work in a fast paced environment and prioritize effectively.
- Takes initiative with in area of responsibility
- N/O/A Level Qualification or above
- Minimum 1 years of relevant experience
- Meticulous and able to work independently
- Positive attitude and willingness to learn
- NITEC / GCE 'N'' / 'O' / A' level or Diploma level and above.
- Versed in Microsoft office.
- Fresh graduate is welcome to apply
- Min 2-3 years of experience.
- Experience in M&E environment is preferred.
- Singaporean and SPR only.
