Job responsiblity:

Admin Support

  • Handle day-to-day front desk reception duties
  • Greet walk-in customers & direct them to respective department
  • Handling all telephone calls and messages in a timely and professional manner
  • Handle incoming & outgoing correspondence (including emails, letters/courier) by record down the details.
  • Assist with daily administrative tasks, including filing, data entry, and document management
  • Maintain admin vendors list. (Stationery/ Pantry/Envelopes and etc.Issue company t-shirts and keep track of its inventory.
  • Issue Safety shoes (from warehouse dept)Issue company access cards for employee onboard
  • Maintain and update locker keys list – Include both offices- Joo Koon & Jurong Port Road
  • Order Envelopes, Corporate Note Book/Diary,namecards and etc.
  • Monitor employee portal in IHP
  • Maintain and issue medical chit for PRC workers– Every 6months
  • Coordination work with Housekeeping to ensure general cleanliness of function rooms and meeting rooms and reception area.
  • Coordinate with vendors for office supplies and pantry supplies.
  • Coordinate office events and activities
  • Ensure the office environment is well-maintained and organized
  • Ensure compliance with record-keeping and confidentiality standards
  • Travel to sub office (Jurong Port) once time a week for admin matter
  • Update contact list from time to time
  • Perform other ad hoc duties as assigned.

HR Support:

  • Register thumbprint for both Main entrance & Rest room access
  • Register Training courses – First Aid course, Safety courses, refresh courses (Backend department), maintain training record
  • On boarding- Print relevant forms and prepare Personal file (Green) before employee onboard
  • Off boarding – Collect back uniform, safety shoes, access card & keys etc.
  • Manage and monitor leave records (Mc, Urgent Leave)

Requirement:

  • Min. 3 years of relevant working experience
  • GCE ‘N’ or ‘O’ Level /SPM
  • Ability to work independently as well as with a team
  • Familiar with Microsoft Word; Excel; Power Point
  • Billingual ( English and mandarin)
