We are a local service provider firm with headquartered in Switzerland, specializing in corporate and fiduciary services for both local and international clients. Our core services include asset structuring, corporate administration, and fiduciary solutions.
We are currently seeking a proactive and detail-oriented Administrator to join our Singapore office. This role supports both corporate secretarial and accounting functions and offers valuable exposure to international business operations in a professional, fast-paced environment.
Key Responsibilities
Manage the full set of accounting tasks for clients, including Accounts Payable (AP), Accounts Receivable (AR), General Ledger (GL), reconciliations, and preparation of financial statements and supporting schedules. Prepare financial statements. Filing financial statements via XBRL
Liaise with clients and internal teams across offices regarding payment instructions, documentation, and project coordination.
Maintain statutory registers and company records, including share certificates, seals, and confidential documentation.
Assist in company incorporations, drafting resolutions, and filing of annual returns with relevant authorities.
Conduct due diligence and compliance checks in accordance with internal policies and regulatory standards (e.g., KYC/AML).
Digitize and maintain both hard and soft copies of corporate secretarial records using the in-house system.
Organize and scan bank statements and advices for accounting documentation.
Handle general office administrative duties and other ad-hoc assignments as needed. Handle all incoming and outgoing mail, including courier arrangements.
Manage electronic communication and coordinate the flow of information internally and with external parties.
Provide administrative support in corporate secretarial tasks for a diverse portfolio of Singapore and international clients. This includes:
Complete bank account openings
Responding to bank enquiries
Retrieving , review and extract documents or information and documents from internal databases
Assisting with payment arrangements and approval
Organize, download , scan bank statements and advices for accounting documentation
Digitize, scan, and archive corporate documents.
Maintain organized filing systems (both hard and soft copies) using in-house tools.
Assist with ad-hoc assignments as required.
Requirements
At least 4–5 years of relevant experience, preferably in a corporate secretarial firm or law firm.
Strong knowledge of corporate secretarial procedures and basic accounting principles.
Experience in due diligence and compliance (KYC/AML) is an advantage.
Able to work independently, with excellent time management and multitasking abilities.
Strong written and verbal communication skills in English.
Detail-oriented, proactive, and a good team player.
