Job Description:

As the Executive Admin Assistant , you will provide essential support by managing schedules, communications, and office operations. This role requires a detail-oriented individual who is resourceful, highly adaptable, and able to anticipate the needs of senior leadership in a fast-moving environment.

Key Responsibilities:

  • Organize and prioritize meetings, appointments, and travel arrangements for the Founder.
  • Act as a liaison, managing phone calls, emails, and other communications, ensuring timely responses and resolution of issues.
  • Arrange business and personal travel, including flights, accommodations, and itineraries, ensuring smooth and efficient trips.
  • Coordinate meetings, prepare agendas, take notes, and follow up on action items. Organize events or team gatherings when needed.
  • Assist with drafting reports, presentations, and other documents. Handle day-to-day office tasks such as filing, inventory management, and maintaining office supplies.
  • Proactively manage and prioritize the Founder’s workload to ensure effective time management and productivity.
  • Provide personal administrative support, such as running errands, handling personal tasks, and ensuring the seamless management of their day-to-day needs.
  • Manage sensitive and confidential information with the highest level of professionalism.

Job Qualifications:

  • Proven experience in an administrative or personal assistant role, preferably supporting C-level executives.
  • Exceptional organizational skills with the ability to multitask and meet tight deadlines.
  • Strong communication skills, both written and verbal.
  • High attention to detail and the ability to anticipate needs and solve problems independently.
  • Proficiency with Google Office Suite (Docs, Sheets, Slides), as well as general office software and tools.
  • Strong interpersonal skills with a professional and friendly demeanor.
  • Ability to handle sensitive matters discreetly and maintain confidentiality.
  • Flexible, resourceful, and proactive with a positive attitude.
  • Bachelor's degree or equivalent
  • Ability to travel
