Job Description

The successful candidate will manage all internal and external events under the GCFO office.

Make an Impact by

  • Lead the execution of all internal and external events under the GCFO office. This includes the annual Regional CEO Forum, the annual Regional CFO Forum, the quarterly GCFO Townhalls, the annual staff functions (D&D and team building), the annual strategy off-sites and bi-monthly engagement activities for all staff
  • Drive the end-to-end process of event planning, ranging from event briefs, research, approvals, invitee & speaker management, venue set-up, event design, onsite support, production management (audio-visual, virtual event management), budget management and post-event analysis
  • Preparation of admin and logistic decks for all internal events under GCFO office for update to GCFO
  • Effectively manage external vendors and venues on all event-related matters
  • Effectively manage internal stakeholders on all event-related matters
  • Manage and keep track of event budgets with a view to cost efficiency
  • Manage corporate calendar of events
  • Lead in office welfare initiatives including (a) creating / curating various care / appreciation packs and welcome swag packs for newcomers and (b) stocking up office pantry with refreshments to energise Team GCFO
  • Work with GCFO Change Leaders to drive department-wide staff initiatives
  • Adhere to internal policies and procedures with regards to reporting activities and spend, compliance regulations, approval processes and ensuring appropriate documentation is in place
  • Oversee inputs into BPC and various procurement systems (SAP, eWF, ARIBA, iBuy) are timely and in line with processes
  • Manage negotiations and procurement process for renewal of database subscriptions

Skills for Success

  • Polytechnic Diploma in any field
  • Experience in events management or planning with at least 1 year experience
  • Excellent communication skills, ability to articulate well and present to all levels of management
  • Possess strong interpersonal skills
  • Experience in collaborating effectively across internal stakeholders, different regions and with vendors
  • Ability to multi-task in a time-pressured environment
