
Order Management Coordinator
Job Description
Responsibilities
Create orders for Retail, Wholesale Direct, and Marketplaces (Amazon Seller Central, Walmart Seller Center) in ERP.
Use SPS Commerce Fulfillment to update orders via EDI.
Place orders based on the Sell-In Forecast and allocate inventory to customers and sales channels.
Maintain and update master order data, focusing on shortages and their causes.
Create and track warehouse work orders until they are completed.
Provide timely and professional order updates to Retail and Wholesale Direct customers.
Ensure data is accurate in all company and third-party systems and reports.
Ensure that all orders are correctly placed and communicated to both internal and external teams.
Respond to Wholesale Direct customer emails promptly.
Manually enter orders into the ERP system when necessary.
Contact Supply Planning for approval of orders over 50% of the monthly forecast.
Work with Freight to get quotes for domestic and international prepaid LTL shipments.
Ensure prepayment funds are received from customers without Net Terms before releasing orders.
Confirm order release with customers and provide pickup instructions if needed (for CPU orders).
For small parcel orders, send tracking numbers and expected delivery dates to customers.
Gather key data from different sources and create reports to support decision-making.
Use Excel functions (like v-lookup and pivot tables) to organize and analyze data for reports.
Design tables, charts, and graphs in Excel, then add them to PowerPoint presentations.
Keep track of and update files for regular KPI reporting.
Handle orders from online marketplaces and ensure they are processed correctly.
Monitor and manage the movement of inventory between locations.
Keep track of inventory levels and ensure data is accurate.
Create reports on warehouse operations and stock allocation.
Track inventory to make sure items are used or sold in the right order (FIFO First In, First Out, FEFO First Expired, First Out).
Ensure supplies needed for order fulfillment are properly managed and stocked.
Qualifications and Requirements
Expertise in using Excel for data analysis, including v-lookups, pivot tables, and complex reporting.
Strong ability to assess inventory and order trends, identify potential issues, and propose effective solutions.
Clear and coherent in both written and verbal communication skills for interacting with both internal teams and external customers
High level of accuracy in data entry and reporting
Organized and able to prioritize tasks effectively in a fast-paced environment
Strong problem-solving skills and an ability to handle complex order management issues
