Position Summary

We are looking for a dependable, bilingual Personal Assistant (PA) to support a Director seconded from our China headquarters. The ideal candidate will be fluent in Mandarin and English, highly organized, and culturally aware, with the ability to manage both executive tasks and personal day-to-day needs with discretion and professionalism. This role requires someone who can act as a trusted point of contact, bridge communication between regional and HQ teams, and offer high-quality personal assistance.

Key Responsibilities

Executive Support & Coordination

  • Organize meetings, calls, and travel itineraries (airfare, accommodations, visa requirements).
  • Prepare business documents, meeting materials, and follow-up notes.
  • Submit expense claims and track reimbursements in a timely and accurate manner.

Mandarin-English Liaison

  • Translate verbal and written communication between Mandarin and English with a high level of accuracy.
  • Support coordination between the Director and both local/regional teams and HQ counterparts in China.

Personalized Daily Support

  • Attend to the Director’s day-to-day comfort and needs, such as serving beverages, preparing meeting setups, or managing personal errands.
  • Assist with settling into the local environment — liaising with vendors, arranging services, or supporting relocation-related needs if applicable.
  • Accompany the Director to local appointments or engagements when needed.

Office & Lifestyle Management

  • Ensure a well-maintained, professional, and welcoming work environment.
  • Manage confidential personal tasks with sensitivity and discretion.
  • Coordinate with internal stakeholders or external vendors for both business and lifestyle needs.

Requirements & Qualifications

  • Bachelor’s degree or diploma in Business, Communications, or a related field.
  • Fluent in Mandarin and English (spoken and written) — essential.
  • Minimum 3 years of experience supporting a senior executive, preferably with cross-border exposure.
  • Excellent organizational skills, cultural awareness, and discretion.
  • Proficient in Microsoft Office (Outlook, Excel, PowerPoint) and comfortable with collaboration platforms (e.g., Teams, Zoom, WeChat).
