
Outdoor Education Trips & Administration Insurance Officer [Maternity Cover]

UWCSEA East campus has a maternity cover vacancy for an Outdoor Education Trips & Administration Insurance Officer from August to December 2025.
Reporting to the Head of Outdoor Education (OE), the incumbent is responsible for the support and monitoring of the OE programmes.
Main Responsibilities
- Maintain and monitor all claims, financial invoices or payments and records of students’ attendance for OE trips
- Manage G6, G7 & G8 Outdoor Adventure trips admin work (OTMS, checking of passports, visa requirements, student movements due to withdrawals etc)
- Making transport arrangements, including booking of flights & liaising with travel agents
- Liaise with activity providers (updating of name list, dietary requirements, child safeguarding - code of conduct , accommodation list, etc).
- Coordinate with various internal departments on logistics, finance and facilities for venue bookings, correspond with parents for consent
- Prepare trip leader booklets, trip resource pack list, coordinate payments and parents consent and liaise with the clinic for updated medical details
- Attend to trips enquiries from teachers, parents and students, including queries regarding insurance coverage
- Responsive to last minute changes
- Adhere to the confidentiality requirement of the College for Data protection
- Provide support with event coordination and actively participate when required
- File Insurance claims and liaising with insurance broker for submission and enquiries
- Assist with any other duties, tasks or jobs with similar levels of responsibility and complexity to the assigned job grade as may be reasonably requested by the line manager and/or the College
Person Specifications
- Minimum Polytechnic Diploma in any related discipline
- Minimum of 2 year of relevant experience in related field
- Energetic individual with a passion for outdoor recreation activities preferred
- Able to work cohesively in a team-based environment as well as independently
- Excellent English (written and spoken), interpersonal and organizational skills
- Proficient in Microsoft Word, Excel and Powerpoint, working knowledge of Windows/Mac platform and collaborative software such as google drive, calendar, docs and sheets
