Overview of Job

Company looking for a reliable and detail-oriented Admin Support Coordinator to enhance our administrative operations. In this role, you will play a crucial part in coordinating external contractors for maintenance and repair projects, ensuring smooth execution and compliance with quality and safety standards.

Key Responsibilities:

• Provide general administrative support to the office team.

• Site Coordinator - overseeing all aspects of construction projects. This included coordinating with contractors, managing schedules and budgets, and ensuring compliance with safety regulations.

• Point of contact on all matters for Maintenance, Facilities Management & Asset Control.

• Communicate with outsourced service providers and coordinate maintenance and repair works.

• Schedule and track maintenance projects to ensure timely completion.

• Attend on-site when necessary to supervise and ensure quality and safety standards are met.

• Maintain accurate records of maintenance activities and service provider details.

• Assist in other ad-hoc duties as required.

Requirements:

• Proven experience in an administrative or coordination role (experience in facilities management or construction is an advantage).

• Strong communication and interpersonal skills to effectively collaborate with internal teams, contractors, and service providers.

• Independent and proactive with strong problem-solving abilities, able to take initiative and manage challenges on the go.

• Strong multitasking abilities with a solid track record of managing time and competing priorities effectively.

• Basic understanding of maintenance and repair processes (knowledge of building maintenance is a plus).

• Willingness to travel to job sites as required.

• Proficient in Microsoft Office (Word, Excel, Outlook).

• Possession of a valid driver’s license is a plus.
