Job Purpose
This role will provide general support to Volunteer Management Department activities, events and initiatives to ensure smooth operation and project delivery.
Job Responsibilities
Admin Support
Manage procurement processes, including purchase requisitions, orders, and goods receiving.
Maintain and track department inventory (e.g., collaterals, volunteer shirts).
Coordinate meeting room bookings and logistical arrangements for events.
Develop and maintain a structured administrative and filing system for the VM Department.
Handle general volunteer-related enquiries via email and direct them to the appropriate teams.
Volunteer Management System
Manage user accounts, including new user requests, profile activations/deactivations, and removals.
Liaise with VMS vendors for system enhancements and change requests, ensuring smooth implementation.
Respond to general VMS-related enquiries and provide user support when needed.
Membership
Process new membership applications, including handling enquiries, payments, approvals, and distribution of membership packages.
Follow up on subscription renewals and returned packages.
Support the conversion of Youth Members and General Volunteers to Ordinary Members.
Communication & Social Media Support
Assist in developing engaging and relevant VM-related content for social media platforms, coordinating with the Corporate Communications team.
Monitor social media trends to enhance volunteer engagement and outreach.
Support the design of VM-related collaterals using Canva or similar software.
Job Specifications
Minimum GCE ‘O’ Level or Diploma in Business Administration, Marketing, Public Relations, Event Management, or a related field.
At least 1 year of relevant experience in an administrative or coordination role.
Experience in the social service sector or volunteer management is an advantage.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic design tools (e.g., Canva) is a plus.
