Job summary:

Roles & Responsibilities

Purpose

• Manage the customers’ requirements and to monitor customer service needs, follow up port calls

and provide support to the customer

• Coordinate all arrangements required by customer for port calls entering Singapore or other Area

ports (Southeast Asia and Oceania) if required.

Interrelations

• This position reports to the Operation Manager.

• The position works closely with Port Operations, the Global Sales Marketing team, and Credit management functions.

Formal authorities

The job holder has the authority to act and make decisions within this functional description, agreed budgets and according to documented chart of authority as outlined in the company’s Governance.

Main responsibilities

• Coordinate port calls effectively, including proper monitoring of the vessel and attendance to any follow-up enquiries

• Ensure compliance with Company Standard Operating Procedures, including correct use of the operating systems (Portable Agent whenever applicable)

• Ensure correct amount of pre-funding are received or the correct level of authority has approved any deviation, prior to performing the Port Call

• For port calls entering Singapore, advise on selection of contractors for goods and services provided to principals, including submission of competitive quotations, as required. Monitor and record expenses that arise during vessels’ port call

• Ensure communication with customers at all times is proactive, efficient and timely

• Ensure Cash-in-Transit (Cash to Master) as per LBH procedure.

• Suggest process improvements based on efficiency, productivity or cost effectiveness gains

• Submission of Summary including correct data input, monitoring, and verification of invoice amount is correct.

• To gather information required to help resolve and close Final DA Settlement disputes.

• To follow up complaints/non-compliances.

Accountabilities

This position will be measured against:

• Volume of port calls handled.

• Response to customer as per agreed targets, especially related to port call follow up and sending Arrival/Departure report to customers within KPI’s

• Work process efficiency

Qualifications

• Reasonable standard with experience rather than formal education

• Experience from the marine industry, preferably ships agency operations

• Fluent English – both in writing and speaking

• Ability to work independently and systematically

• Able to meet deadlines through good time management and allocation of priorities

• Computer literate

• Ability and aptitude to learn is a must – training can be provided to bring the candidate up to speed with the requisite knowledge to perform the job
