Job descriptions:
Manage the system account creation for physical activity programme vendors’ staff and approval of new co-trainers into Ops Management System.
Support quarterly performance management reviews on vendors and feedback from vendors with programme leads.
Assist with basic data cleaning and analysis on Excel and for Polaris dashboards on a monthly/quarterly basis.
Verify data and attendance for activities from vendors’ billings monthly.
Support monthly budget utilisation update.
Track and maintain inventory of event premiums and equipment assigned to vendors.
Update data on projects with programme leads (e.g partner lists, Ad-Hoc events list etc)
Assist with basic data cleaning on ECO projects on a monthly/quarterly basis for management reporting.
Track and record event premium inventory.
Provide administration support on procurement processes i.e. sourcing of vendor quotations and liaison with vendors.
Coordinate meetings with internal and external stakeholders for various ECO projects.
Key in new activity or process change requests from community partners.
Coordinate with vendor/s for onsite recce arrangements to new locations.
Liaise with vendor/s to accept the request in resource availability.
Basic Data Entry and data tabulation for basic reports for Department use.
Provide basic secretariat support to the Department for their meetings including booking of rooms and minutes taking.
Requirements:
A degree in administration or any related field
1-3 years working experience in administrative support
