Responsibilities:
Call Management
- Handle/perform clerical tasks, such as monthly report and various data entry
- Screen/manage all general calls and direct them to the respective department
- Update of telephone list
- Activate voice recording on eve of public holiday and de-activate on the next business day
Visitor Management
- Attend to all guests in a prompt, friendly and professional manner
- Inquire the name of the hosts and contact the hosts that their visitors have arrived
Mail & Courier Management
- All incoming mails to be dated and time stamped
- Mail franking and request top up if credit is low
- Ensure proper record of franked mails in daily spreadsheet
- Sort and distribute of incoming malls
- Arrange for courier services and manage expectations
- Record local couriers and DHL invoices and verify against monthly invoice
Meeting Room Management
- Assist in room bookings
- Ensure that meeting room schedule is managed to minimize “no-show” and/or double booking
- Assist on meeting room lighting, blinds and videoconferencing/speaker and to seek assistance from IT if necessary
- Ensure air-conditioning in Boardroom is to be turned off on eve of public holidays
Travel Arrangement
- Manage flight & hotel arrangement for the Support & Operations division including Travel &Expenses claim in accordance with the corporate travel procedures
- Visa application where applicable for business travelers.
Other Administrative Duties
- Maintain inventory and requisition of pantry, stationery and office supplies and when necessary
- Coordinate with vendors for office equipment and facilities maintenance
- Provide administrative support as required such as typing, filling, scanning, faxing and blinding of document, Support Workplace Team in administrative
- Support for data entry of invoices in Concur
- Other administrative duties as assigned
Qualifications:
- A Degree in Business Administration or related courses
- With 2 years of relevant experience
- A Singapore-native preferred
- Reception and telephone service skills
- Proactive, exercise flexibility, able to multi-task & work independently
- Banking experience is preferred but not required
- Proficient in written and spoken English communication skills (email, business calls, etc.)
- Knowledge on basic PC operation
- Amenable to work in standard working hours in Singapore office
