As Secretariat Support to HoD
- Provide comprehensive administrative and secretarial support to the Head of Department.
- Manage calendars, schedule appointments, and coordinate meetings and minute writing
- Prepare reports, presentations, and correspondence with accuracy and confidentiality.
- Serve as the primary point of contact between the Head of Department and internal/external stakeholders.
- Organize travel arrangements, accommodation, and itineraries.
- Assist with departmental documentation, filing, and records management.
- Handle confidential information with discretion and professionalism.
- Meeting minutes taking for the monthly Faculty meeting.
- Managing the Quarterly Report
Faculty Portfolio
- Manage faculty development duties during appraisal cycle and peer reviews
- Work and collaborate on faculty teaching feedback matters, curriculum course publishing activities, updating the website on curriculum and academic matters
- Support in applications for conference, sabbatical leave, academic leave, Peer Review, Promotion and Tenure.
- Managing the Brag Board (Department Notice Board)
Special Projects
Support the coordination of departmental events, new project initiatives and activities
General Office Administration to Support Operations
Creation of Purchase orders, fixed asset verification, IT equipment budgeting, website updating and other rotated roles, i.e. fire warden
Any other duties as determined by the Department, when required.
- A Bachelor's degree and equivalent with at least four to five years' of work experience
- Proven experience in a senior administrative or secretarial role (experience in an academic or corporate environment is advantageous).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently, show initiative, and maintain confidentiality.
- Professional demeanor and a strong commitment to customer service.
